How to Manage Leads in HubSpot

Learn how to manage leads more effectively with HubSpot

If you have Sales Hub Professional or Enterprise, you can manage leads in HubSpot using the Sales Workspace or the Leads Summary (BETA).
 
There are two ways to view Leads:
 
In the Sales Workspace
  1. Go to Workspaces > Sales.
  2. Click the Leads tab.
  3. Use Preset Views (left side) to filter leads (e.g., Not in sequence to see unassigned leads).
  4. Click the Pipelines dropdown to switch between pipelines.
  5. Click Filters or Advanced Filters to refine your view.
  6. Click Edit columns to customize displayed lead details.
 
In the Leads Summary (BETA)
  1. Go to CRM > Leads.
  2. Use Filters to refine the list.
  3. Click Edit columns to adjust displayed lead properties.
Only Super Admins can edit leads that are marked as Qualified or Disqualified.
 
How to Edit or Delete Leads:
 
From the Sales Workspace
  1. Go to Workspaces > Sales > Leads.
  2. Select leads using checkboxes to:
    • Delete: Click Delete, confirm, and remove.
    • Reassign: Click Assign, select a new Lead Owner, and click Update.
    • Enroll in a sequence: Click Enroll in a sequence, choose a sequence, and confirm.
  3. Click a lead’s name to edit details in the right panel (changes save automatically).
 
From the Leads Summary (BETA) (Super Admins only)
  1. Go to CRM > Leads.
  2. Select leads and choose:
    • Assign: Select a new Lead Owner and click Update.
    • Edit: Choose a property, enter a new value, and click Update.
    • Delete: Confirm and remove leads.
 
Take Action on Leads
  1. In Workspaces > Sales > Leads, select a lead.
  2. In the right panel, you can:
    • Send an email 
    • Make a call 
    • Enroll in a sequence 
    • Schedule the next activity 
 
Automatic Lead Stage Updates
Certain actions automatically update the lead stage:
Lead Stage
Action That Triggers It
New
Lead created
Attempting
Email, call, log activity, schedule meeting, or create a task
Connected
Lead replies, logged call marked as Connected, or completed meeting
Super Admins must manually update leads to Qualified or Disqualified.
 
Track Lead Activity
  • Overview Tab: See last contact date, last engagement, and next steps.
  • About, Notes & Associations Tabs: View past interactions, notes, and linked deals or tickets.
